Setting Dates and Times for Your Rental

The Party Rental Planner Web Manager includes the ability to add multiple dates and times for your events.  You can choose to use all, some or none of the dates and times depending on your needs.  Here are the dates and times which you can use:

  1. Delivery Date/Time - Use this field to tell the customer when your delivery of goods and services will arrive.
  2. Set Up Date/Time - Use this field to notify your customers when they can expect the set up of the equipment.
  3. Pary Start Date/Time - This field indicates when the party actually starts.  This will help both customer and rental company coordindate their schedules to ensure everything will be ready at the right time.
  4. Tear Down Date/Time - Use this field to give the customer notice as to when the rented equipment will be broken down.
  5. Pick Up Date - Use this field to let you customer know when you will be picking up the rented goods.

As mentioned eariler, these fields are not mandatory.  You can use only the ones which make sense to your business.

Where are these Field Located?

You can add these dates and times by navigating to a rental.  For instance, to add rental dates to an existing rental, from the folder navigation click on "Event->All".

When you click on the "All" option you will be presented with your rental.  Select any rental by double clicking on it.

The next screen you see with contain all the information about the rental.  Use the "Rental Options" menu to navigate through the sub screens:

Click on the "Event Details" option.  You will then see a sub-screen on the right which allows you to add or update information relating to the rental.  On the right side of the screen you should see the following:

In the above form, you can set all the dates as you see fit.  Don't forget to click the "Save" button at the bottom of the screen.

Viewing the Dates on Your Invoice

To view the dates on your invoice you simply need to publish your invoice to the web and preview it.  You can publish your invoice by selecting the "Basic Estimate/Invoice" from the "Invoice & Documents" Folder.

 

Once you click on the "Basic Estimate/Invoice" you will see the interactive version on the invoice on the right.  Notice the dates and times as shown in the image below:

To make this invoice viewable to the public click the "Publish to Web" Button.  This will create an HTML version of the invoice for your clients to use.  Next use the "Preview" button to see it for yourself.
